http://publicityhound.com/tips/sample Press releases are one of the most important tools in your publicity kit. Nine out of 10 journalists hate press releases because most are so poorly written. Truth is, journalists rely on releases to let them know what is happening. But that's not the main reason press releases are important. Today, we write press releases primarily to reach consumers directly online and bypass the media. Consumers can find the releases through the search engines. They can read the release, click through to our website and read an article, see an online catalog, watch a video, Like a Facebook page, join a LinkedIn group, or buy something. So even if journalists think the release isn't worth their time and attention, it might attract the attention of consumers. Surveys have shown that journalists spend only five seconds reading a release before deciding whether to use it or toss it. If the press release is written specifically for the media, it must be compelling, interesting and—mostly important—newsy. If you're writing your press release primarily for consumers, it doesn't necessarily have to include news. For example, you can write press releases even when you have no news to announce. Here are three examples: --One common press release format is a list of tips on how to solve a specific problem: fix a leaking toilet or save money for you child's college education or keep your computer from crashing. At the end of the release, there's a call to action that tells the reader to do something specific: click on a link and go to a website to read more tips. Or opt into an email newsletter. Or give an email address in exchange for a downloadable special report. --Another press release example is the CEO of a company making a prediction about something that will happen within his or her industry. The release might include statistics, or the results of a survey the company has taken. --A press release template you see often involves a simple question-and-answer format. It includes five answers to five different questions. There's no news, per se, but the topic will be of interest to anyone who is struggling with that problem, and perhaps using Google to search for solutions. If you want publicity, the best way to get it is with a customized pitch to the journalist, blogger, freelance writer, columnist or broadcaster. Use a press release as collateral material and offer it if the media outlet is interested in your story. There are three main reasons to use press releases in a PR campaign: First, to reach consumers directly. You just might write a release that no media people are interested in. But if it includes the right keywords and a strong call to action, it might pull traffic to your website from consumers. Second, to send routine news to the media. You might write a press release about a new hire, a promotion, an award, a contest you're sponsoring, a new contract, or a new product or service you're introducing. That release probably won't result in a major story, but you might get a three-inch item in the back of your local business journal. Third, as background material. If you're pitching a journalist and they like the pitch, they might ask to see the press release which will have more details than what you explained in the pitch. You can also post press releases in your online pressroom and printed media kit, also known as a press kit. If you use press releases correctly, you can save yourself a lot of time, aggravation, frustration and money. Press release distribution services aren't cheap, so don't use them for routine news. Save your money for when you have major news. These services typically cost around $300 to distribute a press release. As for free press release distribution services, do they really work? You get what you pay for. These services usually don't distribute anything. They simply park your press release at their website and use it as content so they can include Google pay-per-click ads on that page and make money when someone visiting their website clicks. There are two other problems with these services: --A pay-per-click ad on the page where your press release is located might be from one of your competitors! --If your press release includes an error, it's almost impossible to contact anyone at the website and get it corrected. Then there's the issue of whether to follow up after you send a press release. I recommend you follow up, but follow up correctly. Here's how: Craft a clever pitch that gives you a reason to call. When you call, suggest a different angle that media outlet might take—something that appeals to that particular audience. That might get the journalist's attention--and get you the story!

So even if journalists think the press release isn't worth their time and attention, it might attract the attention of consumers. Surveys have shown that journalists spend only five seconds reading a release before deciding whether to use it or toss it. So if you're sending it to a news outlet, it should be compelling, interesting and newsy. If you're writing your press release primarily for consumers, however, it doesn't necessarily have to include news. For example, you can write press releases even when you have no news to announce. Authors who want book publicity might excerpt tips from their books and use them within the press release. Or you might write about how to use a product or service you offer. Be sure to include the link at your website where people can buy it. These things are far more important than whether you call it a press release, a news release or a media release: - -Including wrong information, particularly telephone numbers, addresses, or links. Releases must be complete, accurate and specific. Have someone proofread them. - -Writing too long if the release is being sent to the media. They should be no longer than about 750 words. If posting a release through a press release distribution site, you can write longer. - -Distributing them too late. You must know the deadlines of various media where you want coverage. Local newspapers, for example, might want the release two weeks before your event. But if you want to get into a national magazine that has long lead times, you may have to send it six months in advance. If you're not sure of deadlines, call and ask. --Blatant commercialism. Avoid hackneyed words and phrases such as spectacular, incredible, the only one of its kind, breakthrough, cutting-edge, unique and state-of-the-art. - -Omitting a contact name, phone number or email address. At the top of the first page in the left corner, let editors know who they can call if they have questions. If you do follow up, make sure you have a reason to call. Suggest a particular angle to your story, or ask the media if they need any other information. Even if you're using the most current books, double-check to see if the person to whom you are sending the release still works there, and that the address is the same. A release sent to an editor who died 10 years ago eventually will be routed to the right person, but they'll think you don't care about the publication or who works there. - -Sending the same press release to more than one department at the same media outlet without letting both journalists know that you are doing so. One newspaper I worked at unknowingly printed the same press release three times in different sections of the paper, on the same day. --Sending a journalist a photo that lacks identification. Photos should include the photo subject's name, title and company. --Forgetting to give the booth number if you're writing about a new product that is being featured at a trade show. --Sending the press release by snail-mail when the media outlet prefers email. Always ask yourself if the topic is something that you’d read about in a newspaper or in a blog. Searching for press releases will provide examples to give you a better sense of common topics and writing style. Introduce the newsworthy information. Write two to three paragraphs discussing the topic of your press release. Don’t worry about an introduction. Just jump right in and start writing about the details of the news release. Remember to write in the third-person. These paragraphs are the main body of your press release. This discusses the newsworthy topic in a straightforward manner. Don’t use any hype. Stick to the facts. You need to address the following details with your press release: Who will be interested in this topic or who is it about? What is the subject of the press release? One of the questions that I asked her was basically, what is the difference between a press release and article. As marketers, we probably classify press releases in the same box as we would classify articles. Both require specific subjects and both require careful writing. However, the press release is different. According to Christine it needs to communicate news. It's not necessarily to be self-promotional when written. In fact, she went further to say that the writer should be thinking of others when they write. How can I help someone else to describe this defense or happening? If you think about this as being helpful to reporters, bloggers and others looking to produce information for their readers, you'll have the right attitude and perspective Articles as you know, are written to provide information in a way that promotes the business. Articles also have the in the user in mind. Articles are not written so that others can take them and use them as content. I do understand that this practice goes on, and is even encouraged, but that is not the purpose for an article. The article is meant for the end user to make a decision and do something favorable for another writer. Press releases are written so that the person reading can make a decision on whether or not to pass along the information to their readers, or followers. It gives the person in search of information, the opportunity to easily put together something that would be of value to their readers and give them the chief benefits of what is being described. Christine spent some time discussing the nature of Panda and Penguin. This was especially helpful to those who may have seen the news about both, but never really fully understood what they meant. A key perspective that Christine gave the audience was what Google has been trying to do ever since its founding. She talked about having read their college paper before they started their company. Their purpose has been to provide the most relevant information to seekers when they want it. As I listened to her. I thought about the fact that relevance is the key. "Good" and "bad", don't necessarily play into this. Even though in marketing circles, we discussed what is "good content" and "bad content, In the future will have to start thinking about how we're going to go about being relevant.

At the PRSummit in San Francisco I got a chance to see Josh Weinberg's great keynote presentation, "Launch Lessons" where he shared tips for launching your company. I ran into Weinberg, founder of Digital Life Consulting Group again at the Mobilize 2011 conference in San Francisco, and I asked him to offer up three key tips for launching your product. Launch Tip #1 - The launch planning begins at product inception, not six weeks before product release Don't think about the launch as the party. You need to think of the launch as the culmination of the work that comes together on that day. That means plan your launch a year out, not six weeks before. Good example: Bose When they release a product the entire flow of connecting with the product has been thought out. There's customer support on their site when they announce and you can actually purchase the product. Bad example: Sony tablets A year ago Sony announced they were going to release tablets. At the time, you couldn't find any information on their site outside of the press releases. Nine months later you can pre-order the tablets but you still can't buy them. Launch Tip #2 -- Think about the entire customer experience, not just the product Understand every touch point a person will have with your product, from hearing about it to disposing it. • How do you get information about this product? • What's it like to buy it? • What's it like to unbox it? • What's it like to get it home? • How do they dispose of the product? Where does it go? • What about the preferences and data on the product? Is there a way to seamlessly upgrade within the product and to a new product? You need all of this information to keep customers around for the next iteration of products. You're developing an entire ecosystem of the entire customer experience. Good example: Apple They own every element of the customer ecosystem. Bad example: Every phone company Trying to move data from one handset to another sometimes works, partially works, and also the phone is loaded with crap you don't even want. Launch Tip #3 - Selling consumer products, not technology products Don't think about your product as speeds, feeds, and capacity. Users are going to create a relationship with your product. Make it friendly. One way to do this is to give your products names instead of model numbers. Good example: RIM, today They now call their products The Bold and The Curve. Bad example: RIM in the past and most tech companies Still focused on specs and not on the relationship the product will have with the customer.
